Reporting to the Manager & Associate Registrar, Graduate Studies, and working closely with the Academic Governance and Completion Coordinator and the Gallery, Events & Studio Coordinator, the Graduate Student Experience & IQAP Assistant provides administrative support to governance and Institutional Quality Assurance Processes (IQAP) and coordination support to student events and the Interdisciplinary Forum. The Graduate Student Experience & IQAP Assistant plays a key role in supporting the in-person student experience, as well as providing general support to the School of Graduate Studies (SGS).
Summary Of Responsibilities
- Work closely with the Dean of Graduate Studies to support the coordination of the Interdisciplinary Forum, including catering, set up, guest speaker payments invitations, communications and promotion
- Work closely with Campus Life and the OCAD Student Union to support the organization of student initiated social gatherings and events
- Provide support to SGS events as needed, including: catering, space bookings and set up, invitations, communications, guest lists, event staff, permits, etc.
- Arrange payments for guest speakers in accordance with OCAD University (OCAD U) policies
- Support SGS and Graduate Program exhibitions, events, studio visits, workshops and conferences by working closely with university staff, Graduate Program Directors (GPDs), faculty and student organizers
- Support the updating of social media and SGS website with events and exhibition information
- Work closely with the Academic Governance and Completion Coordinator to support administrative support to IQAP, policy development and curriculum processes by scheduling meetings, taking notes, preparing minutes, supporting the preparation of meeting packages, document formatting, collecting and collating information including sector surveys and industry examples
- Working closely with the Academic Governance and Completion Coordinator and Manager & Associate Registrar to support the IQAP site visit coordination and hosting including, room setup and booking, hosting external reviewers, scheduling events and catering
- Identify students at risk or in crisis and escalate concerns to the SGS Dean or Manager and Associate Registrar
- Maintain strict compliance with university regulations regarding privacy and confidentiality and other relevant policies and procedures
- Assist the Manager and Associate Registrar, Graduate Studies and the Dean of Graduate Studies with other tasks, duties and special projects as assigned contributing to the successful operation of the School of Graduate Studies
Qualifications
- Post-secondary degree or equivalent; a graduate degree in an arts and design-related field is an asset
- A minimum of two (2) years of administrative experience preferably in a University or College department dealing with graduate-level programming
- Excellent technical computing skills, including the ability to create documents, forms and templates using Microsoft Office Suite and ability to create accessible communications documents
- Proven ability to meet deadlines and work well with high volume, pressure and changing priorities
- Demonstrated commitment to client service, specifically students, staff, faculty and external contacts
- Excellent interpersonal and oral and written communication skills
- Demonstrated attention to detail, organizational skills, and the ability to take initiative
- Demonstrated ability to learn in-house programs and systems
- Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty
- Flexibility in work hours; must be willing and able to work occasional evenings, as required
Compensation: OPSEU Unit 1, Appendix A, Grade A3; $27.56 to $35.76 per hour
Hours of Work: A total of
*24 hours per week. This is a temporary contract expected to continue until July 25, 2025.
- The incumbent may be required to work evenings or weekends to support events, including Thursday evenings during the Winter term to support the Interdisciplinary Forum.
- The incumbent will be required to work in person for site visits, events and meetings but can work remotely when conducting other aspects of their position such as planning or scheduling.
