Overview: As part of the Development team, this individual serves as an administrative resource to the whole team with an emphasis on supporting the Events Team execute their events.
Accountabilities/Key Results Area:
Event Execution & Support (50%)
- Supports 3rd party fundraisers and signature events
- Helps with the development of the event websites and pledge pages for signature events and high performing 3rd party fundraisers
- Update event participant reports
- Create and manage event resources, forms and signage
- Support the team with event day logistics such as but limited to set up and tear down of the event, vendor coordination
- Recruits, trains and oversees event day volunteers
- Creates event invoices and fulfills post event prizing distribution, payments and thank you letters
- Monitor and triage messages within the general event inbox
- Helps to recognize and thank all volunteers post event
- Helps to keep Raiser’s Edge records updated
- Conducts research, makes recommendations and gets quotes for selecting vendors, venues and other event related activities as needed
- Keeps inventory of event supplies and maintains organization of event storage room
Donation Processing, File Maintenance & Receipting (30%)
- Prepares events files for bi-weekly uploading into Raiser’s Edge
- Oversees and prepares all development related donation coupons including stock and EFT donations
- Oversees the distribution of all development receipts and thank you letters to the proper solicitor or signer
- Links donations received to the corresponding Raiser’s Edge proposals
- Supports the yearly Covenant House audit with ensuring the proper information is stored on Raiser’s Edge and/or in the donor files and providing the information when requested
- Entering Legacy survey information into Raiser’s Edge
Staff & Volunteer Campaign (10%)
- Planning and execution of the staff campaign
- Overseeing and set up for the wrap up party
Administrative Support for the Director (10%)
- Preparing donor correspondence as needed
- Gathering report information as needed
- Preparing visa and expense reports
- Booking meetings as needed
Qualifications:
- College degree or equivalent work experience
- Previous experience working on events
- Previous office administration experience
- Previous experience working in a non-profit environment is an asset
- Experience with a CRM system is an asset
- Experience with Peer-to-Peer software an asset
- Proficient in Microsoft Office
- Raiser’s Edge experience an asset
- Ability to work evenings and weekends (or outside of regular business hours) as needed
- Holds a valid license and access to a reliable vehicle is an asset
