We're looking for a highly organized and detail-oriented Administrative Assistant to join our team in Scarborough, ON.
Job Summary
The Administrative Assistant will support the day-to-day administrative operations at Hart Pump. This role will include managing administrative tasks such as filing, scanning, data entry, and accounting support. The successful candidate will handle contractor compliance documentation and ensure accurate record-keeping and financial data entry.
Key Responsibilities:
- Organize, file, and scan paperwork, ensuring accurate record-keeping
- Sort and maintain files, both physical and digital
- Complete contractor compliance documentation, ensuring all required documents are filed correctly and on time
- Perform data entry for various business operations, ensuring accuracy and attention to detail
- Support basic accounting functions, including data entry for invoicing, accounts receivable, and accounts payable
- Assist with other administrative duties as requested by management
- Support the office with general clerical duties, including answering phone calls and responding to emails
- Ensure administrative and financial processes are carried out efficiently and with attention to detail
Qualifications:
- Education: AEC / DEP or Skilled Trade Certificate (required)
- Experience: Minimum of 2 years of administrative experience, including front desk duties and accounting or data entry work
- Strong communication skills in English, both written and verbal
- Excellent organizational and time management skills
- Familiarity with basic accounting tasks such as invoicing, accounts receivable/payable, and financial data entry
- Ability to work independently and as part of a team
- Problem-solving skills and the ability to take initiative
- Experience with contractor compliance documentation is an asset
- Technical Skills: Familiarity with NetSuite and accounting software is considered an asset
Schedule:
- Part-time: 20 hours per week
- Monday to Friday
- Flexible hours can be arranged based on candidate availability
Location & Commute:
- This position is located in Scarborough, ON M1S 3R3
- Candidates must be able to reliably commute or relocate prior to starting work
