Purpose:
The Administrative and Financial Assistant role is responsible for providing administrative and financial reporting support to research projects. Under the direction of management, the role will work with Principal Investigators (PI)/ Research Chairs/Centre Directors to coordinate research projects, administrative activities, budget administration, administration of research grants, arranging events and logistics, and maintaining and processing research project records. The role supports the vision, mission, values and strategic direction of the Lassonde School of Engineering and York University, and contribute to a positive, supportive, and student-focused team environment of high performance, respect, trust, collaboration, and continuous improvement. embraces diversity and fosters inclusion.
Education:
College diploma (including post-secondary office administration, business or finance) or an equivalent of 2 years recent experience (defined as within the last three years) working at York University and performing the same or similar tasks. This education equivalency is in addition to the experiential requirements outlined below.
Experience:
Three (3) years recent experience in an administrative role. Experience must include monitoring and reconciling budgets, processing financial transactions and contracts, event coordination, scheduling administrative processes, analyzing and drafting financial reports, and processing forms preferably in an academic environment. Knowledge of funding from research councils and agencies would be an asset.
Skills:
Demonstrated high level of accuracy and proficiency with the following software packages: e-Reports (or other large-scale financial software package), Windows, MS Word (advanced level), MS Excel (advanced level), electronic calendar/scheduling software, and e-mail software (i.e. Outlook).
Ability to work effectively with people at all levels.
Report and summary writing.
Efficient organizational and multi-tasking skills, including ability to work effectively under pressure of high volume.
Ability to set priorities and meet deadlines.
Ability to work independently and proactively handle assignments.
Efficient communications skills.
Ability to maintain confidentiality and to work as an effective member of a team.
Additional Notes:
Please note: This position requires the candidate to produce a verification of degree(s), credentials(s), or equivalencies from accredited institutions and/or international equivalents at the time of interview. Hours of work: Monday to Friday, 8:30am to 4:30pm. This position requires some evening and weekend shifts and flexible hours within a seven-hour workday to allow for events that occur outside of the normal weekday. Summer: same Requests to work overtime may occur periodically throughout the yearPeak periods: Research grant season and fiscal year end (April, June, October and November. Vacation restriction: During peak periods. Vacation to be coordinated with management and the applicable directors to ensure adequate coverage.
