Job Summary
The Festival Operations Coordinator will play an integral role in the successful planning, coordination, and execution of festival operations. This position involves working closely with the Operations Manager, vendors, artists, volunteers, and other stakeholders to ensure that all logistical aspects of the festival run smoothly. The ideal candidate has excellent organizational skills, a keen eye for detail, and the ability to work effectively in fast-paced environments.
Key Responsibilities
- Logistics Management: Assist in the coordination of festival logistics, including vendor relations, equipment rentals, scheduling, and transportation.
- On-Site Coordination: Support the setup, maintenance, and breakdown of event spaces, including managing festival inventory, signage, and supplies.
- Vendor & Supplier Coordination: Liaise with vendors, suppliers, and contractors to ensure timely delivery of goods and services. Address any issues or delays that arise during the festival.
- Volunteer Coordination: Assist in recruiting, training, and managing festival volunteers. Provide guidance and ensure volunteers are clear on their roles and responsibilities.
- Artist Relations: Coordinate with artists and their teams to ensure they have the necessary resources, schedules, and accommodations for their performances.
- Health & Safety Compliance: Ensure that all festival sites comply with local health and safety regulations. Assist in implementing crowd control measures, security plans, and first aid protocols.
- Scheduling & Communication: Maintain clear and timely communication with all festival staff, volunteers, and partners. Assist in developing and managing the festival schedule to avoid conflicts or delays.
- Financial Tracking: Support budget management by tracking expenses related to operations, including vendor payments, rental fees, and other costs.
- Post-Event Reporting: Assist with the wrap-up of festival operations, including inventory management, feedback collection, and final reports on logistics and operations.
Qualifications & Skills
- Experience: 2+ years of experience in event or festival operations, logistics, or a related field.
- Education: A post-secondary degree in event management, hospitality, or a related field is preferred but not required.
- Organizational Skills: Strong ability to manage multiple tasks, prioritize, and meet deadlines in a high-pressure environment.
- Communication: Excellent verbal and written communication skills, with the ability to work effectively with a diverse group of stakeholders.
- Problem-Solving: Ability to think quickly and resolve issues as they arise, maintaining a calm and solutions-oriented mindset.
- Technical Skills: Proficiency with project management tools (e.g., Asana, Trello) and Microsoft Office (Excel, Word, PowerPoint).
- Flexibility: Willingness to work long hours, including weekends, evenings, and holidays as required by the festival schedule.
- Physical Ability: Able to perform physically demanding tasks such as setting up equipment, standing for long periods, and lifting up to 50 lbs.
Preferred Qualifications
- Familiarity with the local music scene or festival culture.
- Experience working with artists, volunteers, or in production management.
- Knowledge of health and safety protocols for large events.
