Unity Health Toronto’s Student Centre, part of the Education Department at Unity Health Toronto, supports a superior experience for over 6,000 learners annually. The Systems Coordinator provides centralized administrative and support services in a welcoming environment. We are currently seeking a highly organized, personable, detailed, and results-oriented individual to join our team at the front desk, playing a key role in welcoming our learners and ensuring seamless operations and exceptional service delivery.
Role Overview
The Systems Coordinator role is often the first in-person point of contact for our learners during onboarding and plays an essential role in the Student Centre team. The Student Centre supports our learners to enable their readiness and access to systems to provide patient care. In this role, you will be providing exceptional customer service and independently managing administrative and technical tasks to support learner placements in a collaborative team environment. Your responsibilities will include coordinating registration, maintaining and creating records and reports, and requesting security and computer access, managing and tracking pager deposits, etc.
Key Responsibilities: · Serve as the primary contact at the front desk, welcoming learners and addressing inquiries with professionalism and courtesy.
- Collaborate internally with Student Centre team members and internal/external stakeholders
- Provide in-person and electronic support for student placement registration, troubleshooting issues, and validating information using the Student Registration System and other electronic tools/resources.
- Manage pager assignments for medical trainees, including tracking, cancellations, and financial reconciliation.
- Support administrative tasks such as managing student lockers, tracking compliance with mandatory requirements to minimize risk for the organization.
- Maintain and update the Student Registration System (SRS) and generate reports to support student registration and compliance.
- Track and manage Medical Trainee Day data for postgraduate and undergraduate learners (this involves data collection and verification of medical student, resident and clinical fellow trainee days)
- Manage Student Centre equipment and spaces (classrooms, locker rooms, student lounge, call rooms, etc.)
- Update and maintain Student Centre documents, tools, and website content.
- Assist in planning and coordinating educational activities, events, and ongoing educational programming.
- Other activities related to enhancing the learner experience.
- Assist the Student Centre team with general and technical support.
Required Skills and Qualifications: · Proven experience in a front desk, administrative, or customer service role.
- Health care or academic institution experience strongly preferred.
- Strong organizational and multitasking skills.
- Proven experience in thriving in a team based environment whilst also being able to complete tasks independently
- Proficiency in Microsoft Office and database management systems.
- Excellent communication and interpersonal skills.
- Problem-solving skills and a proactive approach to improving processes.
