Job Overview
We are seeking a highly organized and detail-oriented individual to join our Document Management team at Assante Wealth Management, a leading financial services organization. As an Associate of Document Management, you will be responsible for supporting the efficient management, retrieval, and storage of critical financial documents while ensuring compliance with regulatory requirements and internal policies. You will work closely with various teams to maintain the integrity, security, and accessibility of important documents and ensure smooth operations within the organization. This will require in office work with the opportunity to work from home. Computer knowledge a must. Google, Windows- Outlook, Microsoft Teams, Adobe.
What you will do:
- Document Organization & Maintenance: Manage and organize financial and legal documents, including contracts, account records, and client cheques. Ensure proper categorization and filing in both physical and electronic systems.
- Digitalization & Data Entry: Convert paper documents to digital formats through scanning, ensuring accuracy and adherence to company protocols. Input relevant data into document management systems as required.
- Document Retrieval & Distribution: Provide timely access to documents for internal teams and external stakeholders. Ensure that document requests are processed efficiently and accurately.
- Compliance & Security: Ensure that all documents are managed in accordance with regulatory standards and internal policies. Maintain confidentiality and adhere to privacy laws, including data protection regulations.
- Quality Control: Perform regular audits and quality checks on stored documents to ensure they are complete, correctly filed, and in compliance with industry standards.
- Collaboration: Work with various departments within Assante Operations, to support document-related needs, ensuring seamless workflows.
- Training & Support: Assist in the training of new staff on document management procedures and best practices. Provide ongoing support to team members and departments for document-related queries.
- Continuous Improvement: Identify opportunities to improve document management processes and contribute to the implementation of new tools and technologies to enhance efficiency.
What you will need:
Education:
- IFIC Operations or Canadian Securities Course , Finance, Information Management, or Mailroom Operations an asset .
Experience:
- At least 1-2 years of experience in document management, records management, or a similar administrative role. Experience within the financial services industry is a plus.
Skills and Competencies:
- Strong attention to detail and organizational skills.
- Ability to work with document management systems and enterprise software.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) Teams, Adobe.
- Familiarity with regulatory requirements for document handling and storage.
- Excellent communication and interpersonal skills, with the ability to work collaboratively in a team environment.
