Administrative Assistant to Clinic Management Team (CMT)
(ON-SITE, Mon - Fri, 9:00am – 5:00pm, 35 hours/week)

Salary: $46,331.00 - $49,667.67 per year

POSITION SUMMARY:
CMCC is looking for a proactive individual who can balance multiple competing priorities and tasks with efficiency, diplomacy and good judgement. The successful incumbent will provide administrative support for the Dean, Clinics and Clinic Management Team (CMT). They will act as a communication liaison for the Division and will assist CMT with various administrative matters by building relationships that foster institutional collaboration.
RESPONSIBILITIES:
- Maintains regular reoccurring administrative processes including the organization resources and platforms for clinical staff and students.
- Provides administrative support to the Dean, Clinics and CMT members.
- Coordinates meetings: scheduling, minute taking, catering and preparing meeting materials.
- Formats documentation including reports and exams.
- Supports examinations by arranging personnel and supplies.
- Acts as a liaison and resource for students, providing information as well as facilitating meetings with CMT.
- Orders and arranges for delivery of printed materials (including brochures and forms).
- Maintains inventory of supplies retained on hand, monitors laundry supplies and arranges for additional deliveries if required.
- Administers the Canvas/Elantra (learning management software) sites for all Year IV courses including administration of learning systems, management, and reporting for all courses and programs.
- Creates surveys, compiles data and prepares reports based on tabulation of surveys, summaries and evaluations.
- Creates and updates procedural manuals such as clinicians’ and interns’ manual, CMT office procedures, etc.
- Oversees administrative tasks related to observership programs and equipment repair.
- Performs other duties as required.
QUALIFICATIONS:
Academic
- Post-secondary education in Office Administration or related field.
Skills & Knowledge:
- Minimum of 5 years' secretarial/administrative experience with excellent customer service.
- Demonstrated superior oral and written communication skills.
- Advanced level of computer literacy; strong working knowledge of MS Office applications, advanced proficiency in Word, Excel, and PowerPoint.
- Preference for individuals with experience with learning management systems (LMS).
- Clear understanding of office protocols, including setting agendas and taking minutes for meetings.
- Excellent attention to detail, responsible and highly motivated.
- Proven ability to work both independently with minimal supervision and cooperatively with other team members.
- Demonstrated strong oral and written communication skills. Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar.
- Well-developed interpersonal skills and the ability to conduct matters with tact and diplomacy.
- Ability to handle sensitive situations and maintain strict confidentiality; Knowledge and adherence to privacy and confidentiality legislation.
- Well-organized with the ability to adapt quickly to fluctuating priorities and time sensitive date requirements
