About Us
We created "The Fueling Station" because, as entrepreneurs, we know first-hand that where you work and who you work with makes a difference. We have been fueling the success of small businesses and start-ups for over a decade at our co-working space in Liberty Village (at 147 Liberty Street, Toronto), and now, we are very excited to have opened up our second location (at 300 Geary Avenue, Toronto)!
About the Position
In the beginning months of this position, you will be required to travel (via car, bus, bike, etc.) from one location to the other to support staff members and tenants at each location. A vehicle for this is not required, but compensation is available for those who would be taking public transit. Please note: the split in terms of time spent at each location is yet to-be-determined, but all candidates should expect travel as part of this position.
Working closely with the Management Team, you will help maintain the day-to-day running of our space and you will also have other responsibilities such as planning fun activities/events for our members, writing the monthly newsletter, scheduling, booking travel, and seeking out new ways to improve our co-working community.
Our Goals and Objectives are to support the Management team to achieve the following:
- Create a welcoming and collaborative community environment amongst our members through events and building relationships between members.
- Ensure that our building is fully operational, and processes are running smoothly. This will involve managing maintenance and cleaning contractors to complete evolving lists of improvements.
- Drive growth and promotion of The Fueling Station’s offerings. We are a great co-working space, and we want you to tell the world!
Duties and Responsibilities
Membership Operations
- Greeting Members, Clients and Contractors. You will be the main, first, and last Point of Contact.
- Answer all calls in a friendly and courteous manner and direct all inquiries to appropriate parties.
- Answer “walk-up” member and guest questions or refer inquiries to additional resources
- Oversee mail and package responsibilities
- Work on community initiatives designed to develop connections between members, including member introductions, event support, email communications etc. Our members are our
- Solve member-related issues to ensure a cohesive community
- Events and Community Management. We want you to encourage participation in socials, lunch&learns, and other community events (we like to party!)
- Prepare member communication (building updates, newsletters)
- Assist with social media channels
- Identify issues for escalation to Director of Operations and Managing Director and document accordingly
- Managing schedules, travel plans, itineraries, appointments for Senior Executives
Building Operations and Management
- Prepare and distribute new member welcome information, keys, and any other move-in/out needs
- Ordering supplies (Coffee, tea, snacks, stationary etc.)
- Identify issues for escalation to Community Manager and document accordingly
- Manage maintenance contractors, tech support and cleaners. Including making calls and scheduling.
- Using initiative to assess other building needs and bringing findings to management
Experience and Requirements
- Similar role, or experience in administration is a plus
- Must have strong verbal and written communication skills
- Exceptional organizational and multitasking skills
- Demonstrate integrity, dependability, responsibility, accountability, self-awareness.
- Passion for entrepreneurial communities.
- Proficient in basic computer skills as well as Word, Excel and Power Point
- Interest in commercial Real Estate and Real Estate in Toronto (not necessary but would be beneficial!)
- Team player, but can work independently taking initiative to get the job done.
- Most importantly, enjoys an ever-changing job description!
