PavCo is seeking a dynamic and highly organized Executive Assistant to the Chief Operating Officer (COO). This pivotal role requires someone with a calm demeanor who thrives under pressure, excels at meeting tight deadlines, and can juggle a diverse and ever-changing workload.
As the Executive Assistant to the COO, you’ll take on a critical role with significant responsibility and influence. We’re looking for an exceptional individual who is not only meticulously organized but also thrives on solving complex challenges (like figuring out how the COO can be in three places at once!) and truly enjoys working with people.

WHAT YOU WILL DO:
- Manage COO’s priorities and deadlines with exceptional organization skills and calendar management, including scheduling and organizing multi-party meetings.
- Manage appointments, phone calls and general inquiries.
- Organize, maintain, monitor and update COO’s files, emails, and other documents including but not limited to: board reports, strategic plans, contact lists.
- Plan and coordinate internal and external meeting invitations and meeting logistics.
- Draft and prepare correspondence and reports including proof-reading and editing.
- Work closely with the Executive Assistant to the President and CEO and CFO to coordinate daily activities, events, and meetings of the Executive Office.
- Coordinate travel arrangements as required and complete appropriate documentation, approvals forms, and reconciliation of expenses.
- Record, issue and track minutes of meetings as necessary.
- Working independently with a high level of professionalism, confidentiality, judgment and discretion.
- Assist with special events, such as staff meetings, and other project work.
WHAT YOU WILL BRING:
- Excellent interpersonal skills to build relationships with internal and external stakeholders.
- Ideally, a minimum level of education required is a Diploma in Business, Hospitality, or Event Management.
- Minimum three years’ experience of relevant work experience supporting senior level executives. A combination of education and experience will be considered.
- Excellent communication skills mirroring that of those you are supporting and representing at all levels of the organization exercising tact and diplomacy in handling a range of situations.
- Able to produce high quality documentation and presentations.
- Able to work autonomously and use your own initiative and make good judgement decisions.
- Discreet and able to handle highly confidential and sensitive information.
- Proven self-starter who thrives in a fast-paced and challenging environment with shifting priorities; ability to handle deadlines.
- Flexibility in regards to work tasks, as well as working hours in order to meet the demand of competing schedules and fluctuating pace of daily activities.
- Intermediate to expert level competence with MS Office and database applications.
The salary range for this position is $ 57,828-72,285
- Offers will be in line with PavCo’s internal pay equity and qualified candidate’s experience and education.
