Overview:
We are seeking a versatile and organized Administrator to support our operations. The ideal candidate will excel at managing office tasks, providing assistance to HR and accounting, coordinating shipping and receiving, and maintaining facility cleanliness.
Key Responsibilities:
Administrative Support:
- Manage office supplies and maintain stock levels.
- Organize and file documents, including client records, shipping paperwork, and subcontractor agreements.
- Assist other departments with reports, paperwork, and general tasks.
- Handle incoming and outgoing mail and deliveries.
Reception Duties:
- Greet visitors and answer calls professionally, directing them appropriately.
- Schedule appointments and manage correspondence via email.
- Maintain a clean and welcoming reception area.
Invoicing, Billing, and Data Entry:
- Create and send invoices, process payments, and follow up on outstanding balances.
- Coordinate with the finance team on reports and resolve billing inquiries.
- Perform data entry tasks, ensuring accuracy in financial records and documents.
Shipping, Receiving, and Inventory:
- Coordinate shipments and inspect incoming deliveries for accuracy.
- Log received items and update inventory spreadsheets.
- Communicate order statuses with team members and maintain proper storage in the warehouse.
Facility Maintenance:
- Ensure cleanliness of outdoor areas, removing debris and maintaining safety.
- Oversee trash disposal and liaise with external cleaning services as needed.
Accounting and Administrative Systems:
- Utilize accounting software for tasks such as data entry, purchase orders, and subcontract management (Sage preferred but not mandatory).
- Support the finance and HR teams in maintaining accurate records and generating reports.
Qualifications:
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with accounting software (e.g., Sage) is an asset.
- Prior experience in administrative, clerical, or accounting support roles is preferred.
