About the Role
General Office Administration:
- Oversee office floor layout updates and troubleshoot Skedda issues.
- Maintain cleanliness standards in front areas and boardrooms.
- Manage and distribute the office snack program and maintain dishware and office supplies.
- Construct SOPs for office protocols (events, ticket purchasing, fridge cleanouts).
- Track and manage incoming mail, UDI ticket purchases, dietary restrictions, and access cards.
- Coordinate catering with third-party vendors, addressing dietary needs.
- Schedule and track office maintenance (e.g., backflow testing, upholstery cleaning).
- Procure and audit office supplies, troubleshoot equipment issues, and resolve booking conflicts.
- Coordinate couriers for deliveries and organize office correspondence.
- Maintain an organized mail management system (physical and digital).
- Ensure compliance with sustainability initiatives and mentor new administrative team members.
Collaboration with Other Departments:
- Collaborate with the Health and Safety team to implement safety protocols and conduct emergency evacuations.
- Coordinate with IT and external vendors for technical setups.
- Assist Accounting with Visa workbook reconciliations for corporate cardholders.
- Collaborate with external partners for printing and delivery of investor and marketing materials.
- Organize and troubleshoot IT equipment and shared spaces with third-party vendors.
Health and Safety Administration:
- Manage safety-related communication and training between QuadReal and Marcon.
- Conduct emergency evacuations and ensure first aid supplies are stocked.
- Address safety equipment needs and coordinate flu shots for the Vancouver office.
Culture and Engagement:
- Collaborate with the Social Committee to plan and execute social events. (quarterly lunches, happy hours, team building).
- Participate in monthly strategy calls with the People & Culture team to enhance company culture.
About you:
- Outstanding customer service and winning personality
- 2 years minimum of reception experience
- Professional and friendly demeanour
- Ability to multi-task and prioritize workload
- Must be proficient in Excel, Word and Outlook applications
- Excellent communication skills with attention to detail
- Strong work ethic, time management skills and reliable

The compensation range for this role is $50,000 - $60,000 annually, depending on candidate's experience and qualifications.
