Our client is looking for a Construction Site Admin to join their team. This is a very exciting place to work based on the team and company culture. Responsibilities
- Support the daily operations of the construction site team.
- Complete daily logs on Procore under the direction of the Site Superintendent, including but not limited to manpower counts, lost days, deliveries, inspections, and concrete/rebar tracking.
- Prepare site meeting minutes, daily reports, timesheets, summaries, and weekly progress reports, ensuring proper distribution.
- Manage documentation required by Trade Contractors and FCM to ensure compliance with Health and Safety policies and procedures.
- Greet visitors to the site, ensure they sign in, and provide orientation to site procedures.
- Expedite field materials, rented equipment, and operate necessary equipment.
- Serve as the primary point of contact for on-site deliveries and pick-ups.
- Assist with document control, including distributing drawings and specifications via Procore and providing hard copies when needed.
- Keep trailer boards updated with the latest Health and Safety procedures and reports.
- Assist in organizing site meetings and sub-trade coordination meetings.
- Support the orientation of new site personnel.
- Assist with surveying, layout, line and level verification, and work inspections.
- Handle routine correspondence with Trade Contractors and suppliers in coordination with the Superintendent and Project Management team.
- Assist the Project Manager and Superintendent in tracking issues, changes in conditions, RFIs, and change orders, and updating Procore.
- Help manage and track the Quality Assurance/Quality Control (QA/QC) program.
- Create and maintain spreadsheets to track construction progress as requested by the Site Superintendent and Project Management team.
- Assist the Superintendent in the execution of their duties.
- Provide administrative support to on-site employees as needed.
- Manage internal software processes, including ordering, invoicing, and material inventory reconciliation.
- Communicate with suppliers to resolve discrepancies.
- Oversee personnel management, including logging hours for general labor.
- Match courier slips to invoices for Accounts Payable.
- Provide administrative support to Site Superintendents and Project Management staff, including processing Purchase Orders (POs), Change Events (CEs), Potential Change Orders (PCOs), and Contract Change Orders (CCOs).
- Take minutes at meetings and assist with document scanning, uploading, and filing into Procore as required by Site Superintendent and Project Management team.
- Provide accurate administrative support by composing and editing various documents, such as letters, emails, agendas, reports, and presentations.
- Perform other duties as assigned by your manager, based on the demands of the site. Work hours may vary based on site activity and should be reviewed daily with the Site Superintendent.
- Upload Health and Safety Manager site inspection reports to Procore under the Documents tool. Input identified hazards from the report into Procore under the Observations tool, assigning them to the appropriate party (FCM or Trade Contractor) to be rectified within 24 hours, and follow up as necessary.
