Job Title: Administrative Assistant

What The Day Will Look Like
- Maintains and manages calendars in Outlook, including coordination of travel arrangements and itineraries
- Schedule and coordinate meetings including room reservations and food ordering/delivery if necessary
- Act as a key resource for the team, i.e., independently seek out answers to questions, take initiative, leverage network of resources to solve problems and proactively cascade knowledge to peer network
- Assist with completing onboarding forms for new hires, i.e. ordering of IT equipment, cell phone, etc.
- Assist with Workday transactions, i.e. setting up hiring requisitions, manager self-service transactions
- Be strategic, solve problems, establish procedures that demonstrate process improvements
- With the assistance of Aon templates, prepare and produce high quality client presentations and correspondence, graphic presentations and other documents, including editing for grammar, punctuation and phrasing
- Submit printing requests for client meetings and other needs as necessary; ensure accuracy of printed materials before distribution
- Use internal travel tool to research travel options and book travel
- Prepare and submit expense reports
- Maintain files, databases or SharePoint sites as appropriate
- Coordinate, organize and plan internal/external meetings/functions/seminars.

You will also work closely with and be helped by other senior executives within the business unit.
Required Experience
Skills and experience that will lead to success
- 2-3 years of secretarial/administrative experience or applicable experience for senior executives or law firm partners
- Proficient in MS Office, Excel and PowerPoint
- Excellent customer service skills and exceptional attention to detail
- Excellent writing skills
- Communicate effectively and professionally
- Work independently with a variety of individuals and teams
- Is highly organized, with strong multi-tasking skills
- Demonstrates strong organizational and management skills
- Demonstrates discretion on highly confidential matters
Education
- High School Diploma or equivalent, Bachelor degree a plus
