Executive Assistant (Contract)
Reporting to the Chief Executive Officer, the Executive Assistant will be responsible for providing executive administration and organizational support to the CEO, Senior Leadership Team (SLT) members, and the Board of Directors as required.
This role helps to build and maintain the reputation of the Alzheimer Society of Ontario (ASO) through professional, friendly and respectful interactions internally and externally and works collaboratively across the ASiO Federation and demonstrates customer service, commitment to excellence and quality relationship building in and beyond the organization. This role is expected to take on special projects as assigned.
What You’ll Be Doing
Executive Administration
- Support the Chief Executive Officer (CEO) and other Senior Leadership Team (SLT) members, as required, with daily executive administrative tasks including calendar and email management
- Preparation of supporting materials for executive leadership's meetings and deliverables
- Monitoring of key deliverables and upcoming accountabilities for the CEO, employing a system of proactive issue and project management
- Take minutes at required meetings, including the SLT meetings and pension committee meetings
- Maintain an up-to-date task list, including reminders and calendar blocks to complete CEO tasks
Governance Support
- Act as the primary liaison with the ASO Board of Directors, including communications on governance items, and providing governance support to Board members and committees
- Oversee the management of the online Board portal, Boardable, ensuring all directors are able to access and utilize all the system features
- Plan and execute the Annual General Meeting, including managing the notice period, building of the agenda and supporting documents and meeting details
- Prepare meeting agendas for all board and committee meetings, ensuring all items are including according to the BOD workplan
- Prepare minutes of all meetings, including the development and tracking of action items
- Manage all meeting details, including travel and catering, as required
Federation Partnerships
- In conjunction with CEO, oversee the execution of all Alzheimer Societies in Ontario (ASiO) meetings
- Maintain active task list for ASiO priorities, including minutes of all relevant meetings
- Support the development of the ASiO Leadership Forum agendas and manage all travel and hospitality arrangements for attendees
Who You Are:
- Post secondary degree or equivalent from an accredited college or university
- An equivalent combination of training, education and experience will also be considered
- Three to five years of direct experience in an executive support capacity
- Possess strong administrative leadership and project management skills, with a demonstrated ability to manage concurrent projects under tight deadlines
- Proven track record of executive level support
- Excellent organizational and time management skills
- Superior communication skills
- Excellent writing skills for various communication channels
- Ability to take initiative and use independent judgment to solve and/or respond to requests for information
- Ability to work as a team member
- Strong client orientation with client-friendly problem resolution skills
- Ability to maintain confidentiality and meet deadlines.
- Excellent attention to detail
- Supervisory training or equivalent experience in managing staff considered an asset
- Exceptional computer skills with good working knowledge of MS Office, and surveying applications

Hiring Zone: $60,000 - $65,000
