Executive Assistant
We are seeking a highly organized, proactive, detail-oriented Executive Assistant to support the President, Executive Vice-President and other Executives for our high-profile client.

The Opportunity
Administrative Support:
- Help manage the executives’ calendars, including scheduling meetings, appointments, and travel arrangements.
- Assist with emails, calls, and correspondence for the President and Executive Vice President as necessary.
- Assist with filing, record keeping, and general office organization.
- Prepare and review and proofread presentations, reports, and other documents.
Travel and Expense Management:
- Arrange domestic and international travel, including flights, accommodations, and itineraries.
- Handle expense reports and reimbursements.
Project and Task Management:
- Assist with special projects, research, and ad hoc tasks as needed.
- Research and prepare information on various topics as related to clients, visitors and other events/meetings.
Communication Liaison:
- Serve as a first point of contact between internal/external stakeholders and the President and Executive Vice-President. Assist as a point of contact for other executives.
- Draft and proofread correspondence and communications.
Office and Team Support:
- Maintain confidentiality and handle sensitive information with discretion.
- Support team members with administrative needs when required.
- Run routine monthly and quarterly reports
Event Planning:
- Planning of corporate events or social gatherings.
- Coordinate resources for various corporate conferences.
Candidate Profile
This is a dynamic position in a growth-oriented environment supporting C-suite in an established and reputable organization. We are looking for individuals that posses a high level of professionalism and discretion that are proactive, resourceful, and solutions oriented. In addition, the following traits and experience would be helpful in this role:
- Adaptable and calm under pressure
- Positive attitude and strong interpersonal skills
- Ability to take initiative and work proactively with their executive team
Education: Post-secondary education in Business Administration, Communications, or a related field (preferred but not required)
Experience: Minimum of 10 years of experience as an Executive Assistant or in a similar role supporting C-suite executives or a leadership team
Skills and Competencies:
- Exceptional organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and other productivity tools.
- Strong problem-solving skills and attention to detail.
- Ability to work independently.
Compensation: Compensation package includes a base salary in the range of $85,000 – 105,000 per year depending on experience, extended benefits and vacation and RRSP contributions.
Location: This is an on-site position based at their corporate head office downtown Vancouver. Travel may also be required to support various events but it would be very limited.
