Motorola Solutions is seeking a highly organized, detail-oriented, and people focused Office Administrative Assistant for our downtown Vancouver office. Reporting to the Sr. Manager, Product Operations, this role is a key part of the local Vancouver office administration team, supporting a group of approximately 400 employees across various departments.
Responsibilities:
- Welcome customers, vendors, contractors, and visiting employees to the office, sign them in and out, and provide guest access control badges
- Ensure a professional and organized office reception area at all times
- Answer emails and phone calls directed to the reception
- Maintain office supplies including stationary, tea & coffee, other kitchen supplies, postage and shipping materials
- Assist with shipping and receiving, including retrieving items from the mail room each day, contacting employees when shipments arrive, and coordinating outgoing shipments
- Take a lead role in the planning, organizing, setup, and execution of in-office events and large meetings
- Draft and and distribute local communications and maintain office email distribution lists
- Manage the office snack program, including ordering food and beverage items, receiving shipments, distributing the items within the office, and removing expired items each week
- Ensure workspace and meeting rooms are in working order and raise any concerns with the Office Manager, IT team, or facilities as appropriate
- Serve as a local co-chair for the Vancouver office social committee, leading the planning and execution of office social events and volunteer opportunities
- Liaise with other external groups including building security, cleaning staff, facilities team, the building operator / landlord, and subtenants to address issues and concerns when they arise
- Serve as the designated backup for the Office Manager when they are absent
- Other duties as assigned by the Office Manager or local leadership team
Qualifications & Skills:
- High school diploma or equivalent
- Previous office administrative experience (3+ years) preferred
- Proficient with Google Workspace applications (Docs, Sheets, Slides, Gmail)
- Proficient English written and verbal communication skills
- Ability to complete tasks and work efficiently with minimal supervision to meet deadlines
- Strong interpersonal skills, with an ability to work with all levels of the organization
This position is based in Vancouver, BC and the candidate must reside in the Greater Vancouver Area as you will be required to go into our downtown office 5 days a week.
The base salary range for this position in British Columbia is 55,000 - 60,000 CAD depending on background and experience.
