Your opportunity:
The Department of Laboratory Medicine and Pathobiology (LMP) occupies a unique position at theinterface between basic biomedical science and clinical practice. We are an assembly of over 400 investigators, scientists, and clinicians, who educate and mentor trainees pursuing undergraduate, graduate, and postgraduate medical studies, engaged in investigating disease mechanisms and patterns and translating new knowledge and discoveries into improved health outcomes for patients and populations.
Situated in LMP, the Temerty Centre for Artificial Intelligence Research and Education in Medicine (T-CAIREM), an interdepartmental centre, serves as a focal point for collaboration between computer scientists, healthcare providers, trainees, medical basic science researchers and industry to advance health through machine learning. The mission of theCentre is to advance research, education, knowledge dissemination and digital infrastructure in the field of AI in medicine.
T-CAIREM aims to be a global leader in facilitating high quality, accessible educational offerings and research collaborations at the intersection of AI and health. T-CAIREM seeks to build capacity to reflect the emerging role of AI in healthcare professions and to build strategic partnerships to implement new solutions that can transform practice.
As Administrative Assistant, T-CAIREM, you will serve as the first point of contact for all inquiries related to our Centre. Working closely with the Director and Centre Manager, you will act as a trusted liaison between our leadership team and internal and external partners to support the advancement of our Centre's priorities. Relying on your strong organizational and problem solving skills, you will be adept at coordinating activities and logistics for our increasing number of initiatives and events. This unique opportunity will enable you to interact with a world-class laboratory comprised of engineers, researchers and clinical staff working at the frontier of digital medicine.
Your responsibilities will include:
- Acting as first point of contact for all inquiries and providing information related to Centre initiatives
- Coordinating activities, and event and workshop logistics
- Preparing and editing correspondence, grant applications and promotional and outreach materials
- Scheduling appointments and coordinating travel arrangements
- Coordinating meetings and supporting committees, including booking rooms, arranging appropriate accommodations and taking and distributing minutes
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience
- Minimum three years related experience preferably in an academic or healthcare environment
- Demonstrated experience providing front line administrative support including responding to inquiries from a wide variety of stakeholders
- Experience coordinating events and workshops
- Experience scheduling appointments, coordinating travel arrangements and supporting committees
- Experience independently drafting and editing correspondence and grant applications, and formatting data for presentations and reports
- Experience maintaining websites and social media platforms
- Experience handling program expenses and processing financial transactions
- Proficiency with MS Office Suite (Word, Excel, Sharepoint) and financial information systems
- Professional demeanor with a strong customer service orientation and effective interpersonal skills
- Excellent oral and written communication skills and attention to detail
- Excellent organizational skills, time management and problem-solving skills with the ability to meet conflicting priorities and balance multiple projects
- Ability to work independently, show initiative and exercise diplomacy and good judgment, and also the ability to work cooperatively
- Proven effectiveness in relating to all levels of faculty, staff, students and individuals external to the University
