Reporting to the Chief Information Officer (CIO), this position is responsible for providing administrative and secretarial support to the CIO and for providing efficient and effective administrative and office support services to the ITS Department. The incumbent carries out special assignments as directed; assists in developing, preparing and monitoring business plans; researches information and prepares various reports, correspondence, analyses and recommendations related to department operations; and provides guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies.
You will be responsible for budgeting activities like assisting in researching, identifying, compiling, developing and analyzing statistics and information related to the IT Services department’s operations for the development of workforce requirements, goals and objectives, performance measures, and financial performance; assisting in coordinating budget preparation related activities within the department pertaining to the operating budget and five year TTC capital program for computer equipment and software and in the preparation of the departmental budget presentation to TTC executive.
You will perform administrative duties like managing the CIO’s daily planner, which involves coordinating arrangements for appointments and meetings (internal and external) and ensuring all relevant background materials are available for use by the CIO and others attending the meetings; processing, monitoring and ensuring deadline schedules for the preparation/submission, etc. of budgets, goals and objectives, employee performance appraisals, statistical reports, and other departmental activities/issues, projects and priorities are met; researching, compiling all pertinent background information and preparing replies to correspondence directed to the CIO, with a degree of speed and accuracy, on own initiative and investigating and composing replies to correspondence pertaining to various aspects of department activities; evaluating various reports for the CIO and assessing their impact on department operations.
You will work on Special Projects/Assignments by Special Projects/Assignments maintaining a follow-up and action systems to ensure action requested by the CIO is taken, expediting same when necessary and ensuring all assignments are completed and submitted in a timely manner; carrying out and/or coordinating assignments and special projects to generally assist the CIO and preparing reviewing and/or processing various reports, analyses and recommendations as well as staff summary sheets, workforce change requests, recruitment requisitions, purchase authorizations, etc. as pertaining to areas of responsibility.
You will coordinate the processing of Board Reports with Directors/senior staff and submitting Board Report titles and final reports to CEO’s office and ensure all Board Reports and SSS for the Department have the appropriate approvals and are delivered to Head Office in a timely manner.
You will perform other general duties like processing all incoming internal and external correspondence addressed to the CIO and initiating action to be taken.
In addition to the above, you will be responsible for treating passengers and/or employees with respect and dignity and ensuring the needs of passengers or employees with disabilities are accommodated and/or addressed (if applicable and within their area of responsibility) in accordance with the Ontario Human Rights Code and Related Orders so that they can fully benefit from the TTC as a service provider and an employer and perform related duties as required.
