Job Description
The Warehouse Office Administrator is responsible for performing a variety of administrative tasks to support the warehouse operations. This role involves managing communication between the warehouse and other departments, maintaining accurate records, handling logistics, and ensuring the efficient flow of day-to-day activities in the warehouse.
Key Responsibilities:
- Office Administration:
- Manage and maintain warehouse files, records, and documentation.
- Prepare reports related to inventory, shipping, and warehouse operations.
- Coordinate and schedule appointments, meetings, and events for warehouse management.
- Answer and direct phone calls, emails, and other communications in a professional and timely manner.
- Inventory and Stock Control:
- Assist in managing inventory records, ensuring accurate stock levels.
- Track shipments and deliveries to ensure timely arrival and dispatch.
- Coordinate with purchasing and procurement teams to maintain adequate stock levels.
- Data Entry & Record Keeping:
- Enter and update inventory data, shipment records, and other necessary information into the warehouse management system (WMS).
- Monitor and update the warehouse's records, ensuring accuracy.
- Logistics Support:
- Coordinate with transport companies and third-party logistics providers to arrange deliveries and pick-ups.
- Assist with tracking shipments and resolving any delivery issues.
- Prepare and file shipping and receiving documentation.
- Health & Safety Compliance:
- Ensure that all safety procedures and warehouse guidelines are followed.
- Monitor and report any safety concerns or hazards within the warehouse.
- Customer Service:
- Communicate with customers and suppliers regarding shipping or inventory issues.
- Resolve any customer complaints or discrepancies related to deliveries or warehouse issues.
- Inventory Audits and Reporting:
- Assist in performing regular inventory checks and audits.
- Report discrepancies or issues to management for resolution.
- General Support:
- Provide general administrative support to the warehouse manager and team.
- Help with organizing training and development activities for warehouse staff.
Required Skills and Qualifications:
- High school diploma or equivalent (a degree in business administration or logistics is a plus).
- Proven experience in an administrative or office management role, preferably in a warehouse or logistics setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with warehouse management software (WMS) is an advantage.
- Strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and accuracy in record-keeping.
- Ability to work independently and as part of a team.
- Basic understanding of warehouse safety practices.
Preferred Skills:
- Knowledge of inventory control practices.
- Ability to handle customer service inquiries and resolve problems efficiently.
- Experience with logistics and shipping procedures.
- Forklift license
- Knowledge in Extensiv WMS preffered.
Physical Requirements (preferred):
- Ability to work in a warehouse environment, including occasional lifting and moving of packages (depending on the size of the operation).
Working Conditions:
- Typically office hours, but flexibility may be required for urgent tasks or inventory audits.
- The role may require occasional overtime during peak seasons or operational needs.
Reports To:
- Warehouse Manager and Warehouse Director.
This role ensures that the administrative side of warehouse operations runs smoothly, which in turn helps optimize warehouse performance and supports the overall business goals.

Pay: $45,000.00-$54,000.00 per year
