Job description
We are looking for an administrative professional to assist in the operations of the Onboarding Department of The Travel Agent Next Door. This department is responsible for organizing and facilitating the travel agents initial set up with our company, being the first point of contact for travel agents after joining, and processing changes to the agent’s business set up.
The ideal candidate for this role is detail oriented, task driven, and punctual, as they will be responsible for navigating and managing changes done over multiple platforms. This is a junior level role, best suited for those with 1-3 years administrative experience, and looking to learn more about the travel industry.
Role responsibilities:
- Managing and actioning agent queries in our support ticket system
- Processing changes to travel agent’s business information, such as address updates, rebranding their business, and increases to commission amounts.
- Coordinating with external suppliers to complete travel agent’s initial system set ups with our Travel Agent Coordinator, such as their email, phone extension, and extranet access.
- Manage the scheduling for introductory phone calls between prospective agents and team members
- Processing new applications and issuing contracts to travel agents joining
- Conducting and tracking follow ups for 100+ prospective agents per day
- Document and information management
- Other department related duties as required
Reporting to the Manager of Onboarding
Qualifications:
- Ability to multi-task and organize time effectively to complete daily tasks
- Strong attention to detail
- Ability to act with a sense of urgency
- Strong customer service skills
- Superior written and oral communication skills (English)
- Highly organized and dependable
- Proficiency in Microsoft Suite of tools (Excel, Word, Outlook)
- Detail oriented & self-motivated
- A passion for travel and tourism
