Job Summary
We are seeking an organized and proactive Secretary to join our team. The ideal candidate will manage daily office operations, maintain schedules, and provide administrative support to ensure the smooth functioning of the organization. This role requires excellent communication, time management, and multitasking skills.
Key Responsibilities
Administrative Support:
- Manage correspondence, including emails, letters, and phone calls.
- Prepare, review, and organize documents, reports, and presentations.
- Maintain filing systems, both physical and electronic.
Scheduling and Coordination:
- Schedule and manage appointments, meetings, and travel arrangements.
- Coordinate events, including logistics, communication, and follow-ups.
Office Management:
- Maintain office supplies inventory and place orders when necessary.
- Ensure office equipment is functioning and coordinate repairs as needed.
- Liaise with vendors, contractors, and service providers.
Communication and Liaison:
- Act as the primary point of contact between the management team and staff/clients.
- Relay information accurately and in a timely manner.
Skills, Knowledge and Expertise
- High school diploma or equivalent; additional certification in office administration or secretarial work is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Attention to detail and problem-solving skills.
