Position Summary
A Medical Division at University Health Network (UHN) is looking for an experienced administrative professional to join their team and fill the key role of Administrative Assistant III for a total of 2 days per week.
The ADMINISTRATIVE ASSISTANT III exercises considerable judgment and independence to provide complex secretarial and administrative support services to senior professional personnel, including: coordinating and maintaining written and/or electronic calendar/schedule for their direct report; coordinating, organizing or planning meetings/events; ensuring efficient operation of the office; developing, organizing and maintaining electronic and paper information filing/retrieval methods, systems or formats; developing and submitting expense reports in accordance with UHN standards, performing clerical support functions; performing cross-functional responsibilities, as required; performing other duties consistent with the job classification, as assigned. This role is a flexible hybrid model (subject to business needs).
Successful incumbent is required to be available Monday to Friday to work a total of 2 days worth of work during the 5-day period, with flexible work hours. Work from locations other than at UHN will be acceptable.
Qualifications
- Completion of Grade XII or recognized equivalent required
Completion of a recognized medical or business post secondary secretarial arts program at the diploma level required
- Four (4) years related secretarial support experience
- Previous on-the-job computer/word-processing, database and spreadsheet software experience; experience in a Microsoft Office environment, including using Microsoft Teams to schedule meetings.
- Experience with or develop competence with he Ariba accounting system used by UHN to submit invoices for payment or reimbursement
- Experience working in a health care environment an asset
- Experience supporting Executives is an asset
- Excellent organizational and time management skills
- Very good interpersonal and customer service skills
- Comprehensive knowledge of health care, organizational/office practices, procedures and standards
- Ability to produce high quality work in accordance with Hospital standards
- Ability to maintain confidentiality
- Ability to work well under pressure and use good judgment in assessing difficult situations
- Knowledge of medical terminology an asset
- Ability to maintain and protect patient confidentiality
- Ability to produce high quality work in accordance with Hospital standards
- Ability to work well under pressure

- Experience working in a health care environment an asset
